Privacy policy
How Lindbloom Aviation handles your information
The short version
- We collect what it takes to fly you safely and legally: who is aboard, how to reach you, and passport details for international flights.
- Passport numbers are encrypted, passport photos sit in private storage, and every time someone opens a document it is recorded.
- Your information goes to the flight team, the owner whose list you are on, the crew of your flight, and government agencies when a flight requires it. It is never sold.
- You can ask to see, correct, or delete what we hold at any time by writing to support@lindbloomaviation.com.
Who we are
Lindbloom Aviation LLC manages private aircraft from Scottsdale Airport (KSDL). The owners we work for request trips and manage their passengers through an owner portal, and our flight team runs those trips through an operations console. This policy explains what those systems collect, why, who sees it, and how long it stays.
What we collect
Owners and their contacts. Name, company, email address, phone number, and the aircraft on the account. Loyalty numbers for rental car programs if you choose to save them.
Passengers. Legal first and last name as printed on the passport, date of birth, sex, nationality, weight for weight and balance, email address and phone number, an emergency contact, and a residence address. For international flights, the passport number, issuing country, issue and expiry dates, and a photo of the passport's photo page. Other travel documents such as visas when they are provided.
Crew. Name, contact details, the seat they normally fly, and the expiry dates of their credentials.
Trips. Dates, airports, any street address given in place of an airport, who is aboard each flight, requests such as catering, rental cars, baggage, and pets, and notes written to the flight team. After a flight, the crew's flight log with times and hours.
Accounts and security. Sign-in email address, a hashed password, active sessions, and for each sign-in and each opening of a document, the time, the internet address, and the browser used.
Communications. A record of each email the system sends, to whom, and whether it was delivered.
Where passenger information comes from
An owner adds a passenger to their saved list with a name, and may add the rest. Or the owner or the flight team sends the passenger a private link by email, and the passenger enters their own passport details and takes a photo of the passport themselves. That link works once, expires after three days, and shows the passenger their own name and nothing else about the trip.
Why we use it
- To operate the flight. Planning, crew scheduling, weight and balance, catering and ground arrangements.
- To meet government requirements. International flights require a passenger manifest with passport details, submitted to U.S. Customs and Border Protection through its electronic system and to the equivalent authorities abroad.
- To keep you informed. Trip confirmations, itineraries before departure, and changes, sent by email.
- To keep required records. Flight and trip records that aviation regulations, tax rules, and our insurers expect us to keep.
- To keep the system safe. Sign-in records and the log of who opened which document.
We do not use your information for advertising, we do not build profiles, and we do not sell it.
Who can see it
- The Lindbloom flight team, limited to what each person's role needs. Passport numbers are shown masked. Revealing a full number is a deliberate action that is recorded with the name of the person who did it.
- The owner who keeps you on their passenger list. An owner sees only the passengers on their own list, never another owner's.
- The crew of your flight, who see the names of who is aboard and never your notes, address, or contact details.
- You, for your own details, through the private link or, for owners, the portal.
- Government agencies, when a flight requires a manifest or an inspection.
- The companies that host and deliver the system. Railway hosts the application, its database, and its document storage in the United States. Resend delivers email. Sentry reports software errors to us and receives no personal details. Each of them processes information only to provide their service to us.
How we protect it
- Everything travels over encrypted connections.
- Passport numbers are encrypted at rest with a key kept separately from the database.
- Passport photos and other documents live in private storage that is never publicly reachable. They are shown only to signed-in people with a right to them, through short-lived links.
- Every view, download, and deletion of a document is recorded with who did it and when, and that record cannot be edited.
- Everyone has their own account and password. Passwords are stored as one-way hashes. Links sent by email work once and expire.
How long we keep it
| What | Kept for | Then |
|---|---|---|
| Passport photos and other passenger documents | 3 years after upload | Deleted |
| Passenger identity details | 7 years | Anonymized, so past flights stay on record without identifying you |
| Trip records | 7 years | Deleted |
| Flight logs | 10 years | Deleted |
| Document access records | 7 years | Deleted |
| Email delivery records | 2 years | Deleted |
We delete sooner when you ask and no legal duty to keep the record applies.
Your choices
Write to support@lindbloomaviation.com or call +1 (720) 300-2145 to see what we hold about you, correct it, or ask for it to be deleted. We answer within 30 days. Where a record must be kept, for example the manifest of a flight already flown, we anonymize what we can and tell you what stays. Itinerary and confirmation emails are part of running your trip and continue while you fly with us.
If you live in California, you have the rights described above under state law, and we do not sell or share personal information for advertising. If you live outside the United States, your information is processed in the United States.
Children
Passengers under 18 are added by an adult owner or guardian, and we collect only what the flight requires.
Changes to this policy
When this policy changes we post the new version here with its date, and we email owners about any change that matters to them.
